Vacancy: Administrator and Caseworker - Brussels

Job Description

Working For: Jude Kirton-Darling MEP and Paul Brannen MEP (North East of England)

Location: Brussels

The Administrator and Caseworker will be expected to perform the following duties:

Hours: Full Time (35 Hours per week)

Administration

Opening and dispatching mail
Photocopying, filing, record-keeping and typing correspondence
Liaise with external suppliers when required regarding office supplies
Liaising with the MEPs’ office in the North East region to ensure the smooth running of the office
Organization of staff/office meetings (Brussels and weekly team/comms meetings).
Organization of in house/ offsite staff activities in Brussels.
Assist with Logistical organization of events and exhibitions both in and outside of Parliament.
Brussels Liaison and organization of MEP visitors groups.
Overseeing and organization of MEP´s participation in EP visitors’ programmes.

Diary management

Manage the MEPs' diary commitments in the European Parliament and Brussels, and liaise with the North East Constituency office.
Assisting with arrangements for events
Handling administrative arrangements for meetings with members of the public and organisations
Prepare briefings in advance of upcoming meetings
Managing MEPs travel arrangements

Casework

Liaise with the North East office on outstanding casework matters
Liaise with other MEP offices and the EU Commission to find answers to casework questions.

Other duties as required.

Good communication skills, including in face to face meetings, on the telephone and in writing

Excellent writing skills

Well organised

Experience of diary management

Ability to work under pressure

Experience of working in a pressured environment

Capable of using Microsoft Office suite

Experience of using relevant IT in an office environment

Ability to write reports and briefings

Experience of writing reports and briefings on a range of topics

Experience of working within a team

Experience of working in an office environment

Ability to undertake research on a wide variety of topics

Experience of undertaking casework on behalf of individuals

Ability to deal with sensitive issues

Experience of undertaking casework on behalf of individuals

Flexible approach to work

Experience of working in a political office

Willingness to travel when required
